What we collect, and why
Analytics — only if you consent. If you accept analytics in our cookie banner, we use Google Analytics 4 to understand how LoadHaus is used (pages viewed, device and browser type, approximate location derived from your IP, and on-site interactions). We use this to see what’s working and improve the tool. No analytics cookies are set and no analytics data is collected unless you opt in.
Lawful basis: consent (which you can withdraw at any time).
Error monitoring. We use Sentry (Functional Software, Inc.) to record technical errors that occur on our servers, so that faults are noticed and fixed rather than failing quietly. Sentry runs on our servers only — it sets no cookies, stores nothing on your device, and no Sentry code runs in your browser. Error reports are configured to exclude personal data: we do not send your IP address, request headers, cookies, or the contents of anything you submit — including locations, rates, email addresses or feedback comments. Where a shared verdict link appears in a report, the part encoding your locations is removed before the report is sent. A typical report contains only a fault message, the location in our own source code, and the name of the affected page. Error data is stored in the European Union (Frankfurt).
Lawful basis: legitimate interests (keeping the service working correctly and secure). Because these reports are configured to contain no information identifying you, this does not require your consent, and it is separate from the analytics cookies described above.
Information you enter to use LoadHaus. To work out a job, you provide details such as the pickup and drop-off locations and your rate. We process these to calculate and show your result. We do not use them to identify you and we do not store them against an account.
Lawful basis: legitimate interests (providing the service you’ve asked for).
Mapping and routing. To calculate distance, route and gradient, the locations you enter are sent to Google Maps Platform, which processes them on our behalf to return the route data.
Vehicle lookup (“Find my truck”). If you use “Find my truck”, the registration is sent to the DVLA’s Vehicle Enquiry Service to identify the vehicle type, then discarded. We don’t store or log it. Using it is optional — you can always pick your vehicle from the list instead. We record the anonymous outcome of lookups (vehicle type and weight only, never the registration) to improve matching.
Lawful basis: legitimate interests (helping you set the vehicle up quickly).
Anonymous usage statistics. When you run a calculation, we record the job figures entered (such as rate, distance, and vehicle type) and the result, in anonymous form. We do not record who you are, your device, your IP address, or your precise locations — only the postcode area (for example “NG”). We use this to improve LoadHaus and to understand haulage market rates. This information cannot be linked to you and does not use cookies.
Lawful basis: this is anonymous information and is not personal data, so data protection law does not apply to it.
Your email address — only if you give it. After a calculation you can choose to leave your email so we can tell you when new features land. If you do, we store your email address and nothing else about you — it is never linked to your calculations, which stay anonymous. We use it only to email you about LoadHaus features. To come off the list, email jack@loadhaus.co.uk and we’ll remove you.
Lawful basis: consent (which you gave by opting in, and can withdraw at any time).
Verdict feedback. If you tap the thumbs-up or thumbs-down on a result — and optionally add a short comment — we record that rating along with the job figures (such as the verdict, vehicle type, distance and rate) so we can check and improve our accuracy. This is anonymous: we do not record who you are, your device, or your IP address, and it is not linked to your email or to any other record.
Lawful basis: this is anonymous information and is not personal data.
Shared verdict links. If you choose to share a verdict, the link we create contains the job details you entered — including the locations — so the person you send it to can see the result. Nothing is stored on our side to make the link; the details travel inside the link itself. Only share a verdict with people you’re happy to see those details.
Your standing costs. If you save your costs (insurance, finance, tax and so on) to work out your daily break-even, they’re stored only on your device (in your browser) so they’re there next visit. They are never sent to us. We record only whether costs were set (yes/no) with your anonymous calculation — never the amounts. You can clear them any time with “Clear my costs”.
Lawful basis: this is stored on your device at your request (strictly necessary for the feature), and the yes/no flag is anonymous information.
Cookies
- Strictly necessary: a small cookie that remembers your cookie choice so we don’t ask again. This is set without consent because the service can’t work correctly without it.
- Analytics (optional, off by default): Google Analytics cookies (e.g.
_ga). These are only set after you select “Accept” in the banner. Choose “Reject” and they are never set. - Saved on your device at your request (not cookies): if you save your standing costs, they are stored in your browser and never sent to us. A small internal testing marker is also stored in the same way, but only on our own devices — it is never set for visitors.
You can change your choice at any time via “Cookie settings” in the site footer.
Who we share data with
We don’t sell your data. We use these processors, who act on our instructions:
- Google — Analytics (if you consent) and Maps Platform (routing/mapping)
- DVLA — Vehicle Enquiry Service (vehicle-type lookup, only when you use “Find my truck”)
- Vercel — website hosting
- Neon — database hosting (the email list and the anonymous feedback/usage statistics)
- Sentry — error monitoring (technical fault reports from our servers; stored in the EU)
Some of these providers may process data outside the UK; where they do, that processing is covered by the providers’ own approved safeguards (e.g. UK/EU standard contractual clauses).
How long we keep it
- Analytics: retained in Google Analytics for up to 14 months.
- Job inputs: processed to give you a result and not retained beyond your session.
- Vehicle registration (“Find my truck”): used for the lookup and immediately discarded — not stored or logged.
- Anonymous usage statistics: retained indefinitely, as they are anonymous and cannot be linked to you.
- Email list: kept until you ask to come off it.
- Verdict feedback: retained indefinitely, as it is anonymous and cannot be linked to you.
- Standing costs: stored on your device until you clear them; never sent to us. We keep only an anonymous yes/no of whether costs were set.
- Error reports: retained in Sentry for 30 days.
Your rights
You have the right to access, correct, erase, restrict or object to our processing of your personal data, and to data portability, where these apply. Where we rely on consent (analytics), you can withdraw it at any time using “Cookie settings”. To exercise any right, email jack@loadhaus.co.uk.

Changes to this notice
We’ll update this notice as LoadHaus develops.
