Who we are
LoadHaus is operated by BilBro Ltd (“we”, “us”), a company registered in England and Wales. We are the data controller for the personal data described in this notice. You can reach us about privacy at jack@loadhaus.co.uk.
The short version
- No sign-up, no account, no login.
- We do not store your inputs or results, and we keep no job history.
- We set no cookies and use no analytics, advertising or tracking.
- Your two postcodes are sent to Google to work out distance and gradient.
- Your vehicle registration stays in your browser — it is not sent to us or anyone else today.
- Fuel prices come from a public government dataset; none of your data is sent to obtain them.
The personal data we process
Under UK data protection law a vehicle registration number and a postcode can be personal data, so we treat them carefully. When you use the calculator we process:
- Vehicle registration number
- You type it in. It is used only within your browser to pick running-cost assumptions for the estimate. We do not currently send it to DVLA or any other third party, and we do not store it. (Automatic registration lookup is not yet enabled; if we add it, we will update this notice first.)
- Collection and tip postcodes
- These are sent from your browser to our server and on to Google Maps Platform to calculate driving distance and route gradient.
- Approximate location (derived from your collection postcode)
- Used on our server to find typical local diesel prices from a public dataset. Your location is not sent to the fuel-data provider.
- Offered rate and optional advanced inputs
- Figures such as the offered rate, load/tip times, target £/hour and any cost overrides are used within your browser to produce the estimate. They are not sent to third parties and are not stored.
- Technical data
- When your browser contacts our server, our hosting provider automatically processes limited technical information (such as your IP address and basic request details) to deliver the service securely. We do not use this to identify or profile you.
What we do not collect
- No name, email address or phone number (unless you choose to email us).
- No account credentials — there is no account.
- No database of jobs; your inputs and results are not saved.
- No cookies, analytics, advertising identifiers or tracking technologies.
- No GPS trails, telematics or vehicle monitoring.
Why we process it, and our lawful basis
We process the data above to provide the calculator you have asked to use — to turn your inputs into a distance, fuel and profitability estimate. Our lawful basis is legitimate interests (UK GDPR Article 6(1)(f)): providing a free, privacy-light estimation tool. We have weighed this against your interests — the data is minimal, used only to answer your request, not used for profiling or marketing, and has a low privacy impact. If you email us, we rely on legitimate interests to reply.
Who we share data with
We do not sell your data or use it for advertising. We rely on a small number of providers:
- Google (Google Maps Platform — Geocoding, Routes and Elevation). Your postcodes are sent to Google to compute distance and gradient. See Google’s Privacy Policy.
- Our hosting provider (currently Vercel Inc.), which runs the service and processes technical/log data on our behalf.
- Fuel Finder (UK Government fuel-price open data). We download a public price dataset to our server and filter it locally; we do not send any of your data to it.
International transfers
Some providers (notably Google, and possibly our hosting provider) may process data outside the United Kingdom. Where they do, the transfer is protected by UK ‘adequacy’ regulations and/or appropriate safeguards such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
How long we keep it
We do not store your inputs or results. Postcode-to-route results may be held briefly in temporary server memory to speed up repeat requests; this is not a permanent or identifiable record. Limited technical logs are retained by our hosting provider for a short period for security and diagnostics.
Your rights
You have rights under UK data protection law, including to access, rectify, erase, restrict, object to, or port your personal data. Because we do not keep records linked to you, in practice we usually hold no personal data to retrieve or delete once your session ends. To make a request, email jack@loadhaus.co.uk.
If you are unhappy with how we handle your data you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113. We would welcome the chance to address your concerns first.
Cookies and analytics
LoadHaus sets no cookies and uses no analytics or tracking technologies. Our infrastructure providers may use strictly necessary technical measures to keep the service secure and available; these are not used to track you.
Children
LoadHaus is a business tool and is not directed at children. We do not knowingly process the personal data of children.
Changes to this notice
We may update this notice from time to time and will change the ‘last updated’ date above. If we introduce accounts, saved jobs, job history, or registration lookups — anything that means we start storing your data or processing it in new ways — we will update this notice to describe the new processing and its lawful basis before that change takes effect.
